We have a requirement for a Project Support Coordinator to support the Project Leads based in our Innovation and Product Development department to ensure the administrative and coordination aspects of their projects are taken care of.
This role would suit someone with Project Administration or Coordinator experience, who is adept at picking up new tools and managing a number of tasks simultaneously and not phased by a fast-paced environment. This individual would also need to have experience of managing and/or reporting on project budgets as this is a key requirement of support.
The role will report into the Head of Consumables whose portfolio of projects will be primarily supported by this individual, but will have a dotted line into the PMO
This role will have its key responsibilities as listed below, however other ad hoc tasks may apply.
Key Responsibilities
- Attend all assigned project meetings, send out agendas, take minutes and log actions, RAID log items, lessons learnt and communicate these after the meeting.
- Responsible for managing all project tasks in JIRA (Project Management tool), ensuring updates from meetings are translated into the tool and helping the project lead to ensure this is always up to date
- Responsible for updating the Project Status Report (PSR & RAID) and the budget forecast in Anaplan on a weekly basis to ensure current Project status is available at the portfolio level
- Support the Head of Consumables with their portfolio weekly review to make any amendments as required
- Financial and Commercial
- Responsible for raising project PO’s and processing invoices in a timely manner
- Raise new Supplier requests
- Arrange one off payments
- Supporting the project team with any shipping requirements
- Cover any other administrative tasks as required, ie generation of documentation, filing etc
Requirements:
Essential
- Project support and budget management experience
- Ability to interact with colleagues at all levels, collaborative and supportive, team player
- Natural organiser, able to multitask and pays attention to detail
- Aptitude for problem solving and solution-based thinking
- Google GSuite, MS Office, JIRA or similar Project management tool experience
- Excellent English written and verbal communication skills
Desirable
- APM PFQ or Prince2 Foundation level certification
- Experience with Anaplan or Harvest Jira?
- Full current driving licence
