As Executive Assistant to the Group General Counsel and Company Secretary you will use your excellent planning and organisation skills to effectively manage the General Counsel Corporate and Deputy Company Secretary’s calendar, including planning and coordinating travel arrangements for Board, ELT and LLT meetings and events and processing associated expenses.

Showcasing your excellent coordination expertise, you’ll support complex board and executive meetings with internal and external resources, attend team meetings and provide secretarial assistance. 

Given the nature of the role, handling sensitive and confidential information while exercising professionalism and discretion is critical to success.

Responsibilities include:

  • Supporting the Group General Counsel and Company Secretary and the Deputy Company Secretary with all aspects of calendar management, meeting arrangements and support, planning and coordinating travel arrangements and expenses.
  • Supporting the Legal and Company Secretariat teams with meeting liaison, IT requirements, signing and notarisation of documents, and travel arrangements.
  • Liaison with the Chairman, board of directors and their assistants for meeting arrangements, delivery of papers, travel plans and managing expense claims in a timely and compliant manner.
  • Collation, tracking and uploading of papers to Diligent for Board meetings, Board  committee meetings and relevant management meetings.
  • Board calendar management including arranging in person and virtual attendance for participants and invited speakers 
  • Responsible for planning and logistics for Board meetings, AGM and Board dinners and attending these events.
  • Arranging annual shareholder meetings with the Chairman, Company Secretary and Board Committee chairs, circulating letters to shareholders from the Company Secretary and managing master contact sheets and planners.
  • Assisting the General Counsel and Company Secretary with the induction of new members of the Board and providing support for their meetings including co-ordinating IT integration 
  • Management of Executive Leadership, Investment Committee, Group Risk and AGM invitations meetings and papers.
  • Arranging and supporting complex executive meetings with internal and external resources
  • Responsible for creating Global Group legal meetings, team conferences and coordination of attendance, slides and papers and a shared portal for document storage.

Requirements:

  • Executive Assistant with 5+ years experience, ideally within industry although law firm experience is also desirable.
  • A successful Executive Assistant with a track record in providing efficient and comprehensive secretarial/admin service to C-suite executives and ideally in legal or company secretariat support.
  • Highly experienced in calendar and meeting management
  • Highly organised and able to prioritise a varied workload, including working effectively under tight deadlines.
  • High level of discretion and the ability to respect highly confidential information.
  • Proficient IT skills, particularly the Microsoft Office suite; Outlook, Word, Excel, PowerPoint. Knowledge of Google and Diligent would be advantageous
